Scope
This procedure forms part of JIBC’s Indirect Costs of Research policy (the “Policy”) and should be followed and applied in relation to recovery of Indirect Costs of Research under the Policy. Terms not otherwise defined in this procedure are as defined in the Policy.
Procedural Guiding Principles
Indirect Costs Rate Calculation
JIBC will calculate its Indirect Costs of Research rate based on currently accepted best practices and the guidelines provided by funding agencies.
The Indirect Costs of Research will cover legitimate indirect expenses, such as administrative costs, infrastructure maintenance, utilities, and other necessary overheads.
Budgeting and Proposal Submission
Researchers and Applicants at JIBC are responsible for ensuring that Direct and Indirect Costs are included in all proposed Research budgets.
Indirect Costs will be expressed as a percentage of the direct project expenses, aligned with the allowable Indirect Costs, to ensure accurate budgeting.
Sub-award
JIBC researchers and Applicants must collaborate with researchers from other institutions to ensure JIBC receives Indirect Costs on Sub-awards.
Indirect Costs on Matching Funds
JIBC requires Indirect Costs on grants requiring cash contributions from partner institutions (private sector, public sector, and not-for-profit) to match Tri-Agency and other non-Tri-Agency grants or contracts. Indirect costs should only be applied to the cash contribution from the partner institution not to the funds requested from the Tri-Agency.
In-kind contributions are not included in calculations for Indirect Costs.
Compliance with Funding Agencies
JIBC will adhere to the specific requirements of funding agencies concerning indirect cost recovery while submitting Research Grant applications.
Necessary documentation and justifications for the proposed Indirect Costs of Research will be provided as part of the grant application process.
Distribution of Indirect Cost Recovery Funds
Recovered Indirect Costs will be reinvested in strengthening the Research environment at JIBC.
Funds will be allocated to support Research infrastructure, technology, training, and other Research-related services.
JIBC will adhere to the specific requirements of funding agencies concerning the distribution of Indirect Costs.
Tracking and Reporting
JIBC will establish a comprehensive tracking and reporting system to monitor the utilization of indirect cost recovery funds.
Regular reports will be generated to demonstrate the responsible use of these funds, ensuring transparency and accountability.
