Procedure Statement

Scope

This procedure forms part of JIBC’s Line of Duty Death Policy (the “Policy”). Its purpose is to provide clear direction on proper notification and action when there is a LODD in Canada. Terms not otherwise defined in this procedure are as defined in the Policy.

Procedures for Communicating a LODD

Responsibility for ensuring proper communication for a LODD in accordance with this procedure resides with the Vice-President, Brand, Communications & Engagement (“VPBCE”) or their designate.

Confirming LODD
  • The VPBCE or their designate will confirm a Canadian LODD from the agency of jurisdiction, or other reputable source, before any further action is taken. Media reports will not be the foundation to begin communication.
  • With official confirmation, the VPBCE or their designate will send a request to the Facilities Service Desk to lower flags to half-mast, as per JIBC’s Policy 2602 Flag Display.
Communicating LODD
  • The VPBCE or their designate will prepare email notification to employees on behalf of the President for the reason for lowering the flag to half-mast and referral to support services, as required.
  • The VPBCE or their designate will consult with JIBC’s People & Culture department to determine if reference to available employee supports should be included (recommended).
  • The VPBCE or their designate will share the LODD on social media channels. Social media content will include:
    • Reference to LODD and lowering of flags;
    • Honoree’s name, rank/title, agency, and location;
    • Link(s) to any official announcement(s) and/or memorial information (when available); and
    • JIBC condolences.
  • For BC LODD, the VPBCE or their designate will also draft a letter of condolence for the President to send to the agency of jurisdiction.
